There are many problems small businesses face on an everyday basis that can be solved with online database software. Here are two examples to help you out.

 

# 1 We love to share our business data within the team but the spreadsheets we are using are just creating a big mess. We constantly struggle to update spreadsheet versions. How can we clean this mess?

Spreadsheet are amazing with numbers but are a pain with data, especially if you are not a one-man-show. Two people can’t work at the same time on the same spreadsheet so you can just imagine the mess if there are ten people in your team! On top of it, spreadsheets are not easily searchable, can’t be much personalized and won’t help you create reports. You got it, I hate spreadsheets.

It is extremely easy to solve all these problems with online database software. You don’t even need to start over from scratch. All you have to do is to import your existing spreadsheets to automatically create your database applications and import your preexisting data at the same time. If you need, you can customize the look of your app and add a few more fields to track some new related data. You can also create a few default searches to access specific subsets of your data easily.

Once your apps are customized, your data is imported into your online database software account and your searches are created, create your users for each member of your team and customize their permissions. You can then all add and edit new or existing items at the same time. Isn’t it amazing to be able to access the latest version of your data at all time with just a click of a button?

# 2 I’m sure we could benefit from some of the features of a CRM but the whole thing seems to be way to complicated for our needs. All we need is a way to track all our contacts and related tasks. Where can we find such a simple contact manager?

If you run a small business, sales force automation, forecasting and complex workflows may not be your cup of tea. Sometimes, a big CRM software is simply overkill and you sure don’t want to pay for the big guns. All you probably need is to keep track of clients and leads and to attach your tasks to each of them.

To do so, you can create two applications, one for your contacts and one for your tasks, and then link the tasks to the contacts. It’s easy to manage all your contacts with one simple application. Add the usual fields such as names, addresses, phone numbers and the such but also add a status drop down menu field to manage the type of contacts you are tracking. The values in this fields could be lead, qualified lead, lost lead, client, or any other value specific to your reality.

Then, create your task application. Once again, you can create the simplest task tracker or an ultra comprehensive one. You can include the task name, a description, the date and time of the task, who it is assigned to and so on. If you want to link your tasks to a contact, don’t forget to include the contact item link to your task application.

When your two applications are created, you can then use it to track what you are doing for or with your contacts. For example, when you are trying to close a lead, create a linked task for every of your specific actions. It will help you remember what you did and didn’t do yet. Especially if your sales cycle is lengthy, make sure you take notes of your discussions with each lead and take advantage of the reminder feature.
